Who we are
StayBooker ("we", "us") provides a booking platform for independent accommodation hosts in the UK. We are the data controller for the host accounts we hold, and act as a data processor on behalf of hosts for the guest data they collect through our system.
What we collect
Host accounts: business name, contact email, listings, settings, Stripe account ID and payout status.
Guests: name, email, phone (optional), check-in/out dates, party size and any notes you choose to send the host. Payment details are handled by Stripe — we never see card numbers.
Technical data: IP address, browser user-agent and basic logs needed to keep the service running and secure.
Why we use it
To create and manage your bookings, send confirmation emails, and let hosts manage their calendar.
To process subscription payments from hosts (via Stripe).
To detect abuse, fix bugs, and meet legal obligations such as keeping tax records.
Sharing
We use Stripe (payments), Supabase (database hosting in the EU), Resend (transactional email) and Cloudflare (hosting / CDN). Each is bound by data-processing terms.
Guest details are shared with the host you booked with so they can welcome you. We do not sell data.
Retention
Bookings and related communications are kept for 7 years to meet UK accounting requirements. Account data is kept while your account is active and for a reasonable period after closure.
Your rights
Under UK GDPR you can ask for a copy of your data, correct it, delete it, or object to processing. Email us and we will respond within 30 days.
You can also complain to the Information Commissioner's Office (ico.org.uk).
